We are currently seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our Operations Manager. This vital role will help ensure seamless operations across all departments and uphold our high standards of service across the properties we manage.

Position Summary
As Executive Assistant, you will provide direct administrative support to the Operations Manager. You’ll play a key role in streamlining communication between teams, managing essential documents and schedules, and supporting the day-to-day functions that keep our company running smoothly. This is an ideal position for someone who thrives in a dynamic environment and is passionate about delivering behind-the-scenes excellence.

Key Responsibilities
Administrative & Operational Support

Manage the Operations Manager’s calendar, meetings, and travel logistics
-
Prepare reports, memos, emails, and presentations
-
Draft professional correspondence and take accurate meeting minutes

Assist with budget tracking, project timelines, and departmental follow-ups
Property & Staff Coordination
-
Serve as a liaison between the Operations Manager and resort/property teams
-
Support onboarding, training, and coordination with department heads
-
Organize scheduling for maintenance, vendors, and contractor services
Client & Guest Services Support

Track and manage communications with clients and property owners
-
Support the coordination of VIP arrivals or special guest needs
-
Handle confidential information with discretion and professionalism
Documentation & Systems Management
-
Help maintain SOPs, vendor files, contracts, and property manuals
-
Ensure timely filing of HR documents, purchase orders, and compliance records
-
Keep digital and physical files organized and accessible
Required Qualifications
-
Proven experience as an Executive Assistant or in a similar administrative role
-
Background in hospitality, real estate, or property management is highly preferred
-
Strong written and verbal communication skills
-
Excellent organizational and multitasking abilities
-
Proficient in Microsoft Office, Google Workspace, and other relevant software
-
Discreet, dependable, and solutions-oriented
Preferred Traits

Familiarity with hospitality software (PMS, POS, booking engines)

Calm under pressure and adaptable in a fast-paced setting

Strong interpersonal skills and a team-player mentality

Willingness to assist on-site when needed
